4 systems that let lean agencies handle more clients with less effort

Hello everybody, welcome back to Moodboard 🌴
Over the last two years, my team and I have scaled our newsletter agency (Tailwind) to help build & grow 50+ media companies and publications while keeping our team lean and efficient.
The reason we've been able to handle that volume without burning out is because we've built AI-assisted systems that streamline our workflows while maintaining our high standard for quality (I’ve shared many of these systems in the last 40 weeks of writing Moodboard).
Today, I wanted to share the four core vibe marketing “philosophies” that have saved me time, made us money, and helped meaningfully grow our business.
BEFORE WE DIVE IN:
I'm hosting a free live workshop next Wednesday where I'll walk through Vibe Marketing for Agencies in much more depth, with hands-on examples and live demos.
If you're an agency operator or freelancer, you won’t want to miss this.
Alright, let's get into it👇

Strategy #1: "Meta-Prompt," Then Templatize
This is the foundation of every AI workflow we build (and the genesis of most of the prompts/systems we share in Moodboard).
The idea is simple: instead of trying to write the perfect prompt from scratch, you use a natural process of iteration to build one, and then you save it as a reusable template.
Here's what the process looks like:
You start with a simple seed idea. Something like "write a newsletter intro for a SaaS company." You don't overthink it. You just get something on the page.
You iterate. You look at the output, tell Claude what you'd change, and go back and forth until the output is genuinely good. We call this step "pair prompting", you're collaborating with the AI to refine the deliverable in real time.
Once you're happy with the result, you ask Claude to extract the refined prompt as a reusable template. Now you have a detailed, battle-tested prompt that you can save, reuse across clients, and share with your team.
When you templatize like this, all your team needs to do is swap in the client's details and the prompt handles the rest.
You may remember that we’ve also experimented a lot with what we call "wizard prompts", prompts that walk the user through a step-by-step interview before generating the output. We build these through this same process.

Strategy #2: Claude Projects Are Your New Best Friend
If you're running an agency/freelance practice and you're not using Claude Projects, you're leaving a massive amount of efficiency on the table.
Claude Projects let you create dedicated workspaces for each client or deliverable type. You upload reference materials, set custom instructions, and every conversation within that project has full context from the start.
Here's why this is so powerful for agency work:
No more copy-paste chaos. Before Projects, our workflow was: find the prompt, copy it, paste it, adjust it for this specific client, hope you grabbed the right version. Now, the prompt lives in the project instructions. You just open the project and start working.
Clients and deliverables stay organized. Each client gets their own project. Each recurring deliverable type (newsletter, social posts, landing pages) can get its own project too. You can access the full chat history by project, so nothing gets lost.
Your "sources of truth" live in one place. You upload your resources (brand guidelines, tone of voice docs, past examples, etc.) only once to the project's knowledge hub and Claude references them automatically. No more re-explaining a client's voice every single conversation.
For our team, this approach been the single biggest time-saver.

3. The "Hub and Spoke" Method
This is where agencies can really start to expand what they offer without adding proportional effort.
You start with one powerful piece of rich, long-form content (your "hub"), then use AI workflows to repurpose and reformat that content into multiple deliverables (your "spokes").
For example, let's say you write a detailed newsletter for a client. That's your hub. From that single piece, you can spin out:
3-4 LinkedIn posts using different emotional angles
A Twitter/X thread pulling out the key insights
An email nurture sequence expanding on subtopics
A blog post reformatting the newsletter for SEO
The key insight here is that spending extra effort editing and perfecting that long-form hub asset makes everything downstream significantly easier.
For agencies (especially content agencies), this is one of the most relevant use cases for AI.
First, you can expand your services with complementary deliverables without doubling your workload.
Second, for your own marketing, you can cover more channels and drive impressions like you have a full marketing team (even if it's just you).
Tools like Flora are incredibly useful here.
Flora lets you chain multiple AI models together in visual workflows, so you can build a repeatable system that takes one input (your hub content) and produces multiple formatted outputs automatically.

Strategy #4: Context Engineering
Every strategy I've covered above gets 10x better with good context.
The agencies that are best at vibe marketing are the ones that have figured out how to capture high-quality context from clients with minimal effort.
What do I mean by context engineering?
Building systems that organically collect the raw inputs (client voice, expertise, opinions, preferences) makes AI-generated content actually sound like it came from the client.
Here’s one approach that we’ve used, as an example:
We set up a Slack channel with each client. When it's time to create their newsletter, we drop a few targeted questions into the channel. The client responds via voice note or text (whatever's easiest for them).
Then a Zapier automation picks up their response, sends it to Claude with our templatized prompts, and generates a first draft that gets organized in Notion. Our team edits from there, handling that last 20%.
The client spends maybe 5 minutes answering questions in Slack, we get authentic, original insights in their voice, and the whole process from client response to organized first draft happens automatically.
This is what I mean by "always start with something human."
The AI doesn't generate the ideas, the client does.
The AI organizes, expands, and formats those ideas into polished deliverables.
When we show clients this automation, they love it. It's great for retention because the process feels effortless on their end, and the output quality is consistently high because we're working from their actual thoughts and expertise.

Putting It All Together
The compounded result of these four strategies (+ some systems that tie them all together) is a lean agency that delivers more, faster, at a higher quality, without working more hours.
If you want to see all of this in action with hands-on demos and more detailed examples, join me for the live workshop next Wednesday.
I'll walk through each of these strategies in depth, show you real examples from our agency, and answer any questions you've got.
